What sail-private.com collects, how we use it, and the choices you have. We try to keep the site quiet — collect only what we need, share only what we must.
1Who we are
Sail Private Inc. (“Sail Private,” “we,” “us”) is a Delaware corporation that organizes private group voyages. This policy covers sail-private.com and the related portals we host. Voyage-specific data handling — for example, what a vessel operator does with your passport scan — is set out in the voyage contract you sign at booking.
2Information we collect
Information you give us
- Contact form. Your name, email, and the message you write.
- Waitlist. Your email address.
- Ringleader application. Your name, email, the network you organize for, the size and shape of voyage you’re considering, and anything else you choose to share in the form.
- Voyage RSVPs and cabin holds. Your responses, guest counts, comments, and the cabin you select.
- Voyage preview prompts. The free-text inputs you provide when you ask the site to draft an illustrative voyage preview.
- Account access. For Ringleaders and admins, your email address (and, for admins, a password and one-time codes).
Information collected automatically
- Site analytics. Pages viewed, referrer, approximate location (city or region level), device type, and similar signals, via Google Analytics and Microsoft Clarity. Clarity records session replays (clicks, scrolls, mouse movement) on a sampled basis.
- Server logs. IP address, user-agent, request paths, and timestamps, retained for security and debugging.
- Cookies and similar. Session cookies for sign-in, analytics cookies for measurement, and a small number of preference cookies. We do not use advertising cookies.
We do not knowingly collect any information beyond what is described here.
3How we use it
We use the information to:
- run the site and the voyage portals you participate in;
- respond to your messages, applications, and RSVPs;
- generate the illustrative voyage previews you request (your prompt is sent to Anthropic’s API for generation; we do not include your name or contact information in that prompt unless you write it there yourself);
- send transactional and operational email (confirmations, sign-in links, replies) and, for waitlist subscribers, occasional updates from which you can unsubscribe at any time;
- understand how the site is used, measure interest in voyages, and improve the site;
- detect, prevent, and respond to fraud, abuse, and security incidents; and
- comply with our legal obligations.
4How we share it
We share information only with the following:
-
Service providers who help us operate the site, under contracts that limit their use to providing the service. Current providers:
- Resend — transactional email delivery
- Anthropic — AI generation for voyage previews
- Cloudflare — DNS, edge security, and inbound email routing
- Google Analytics (Google LLC) — site measurement
- Microsoft Clarity (Microsoft Corporation) — heatmaps and session recordings
- A PCI-compliant payment processor, where Sail Private bills a voyage directly.
- The Ringleader and operator of a voyage you participate in, with the information they need to host and operate the voyage (your name, contact details, RSVP, and any dietary or accessibility notes you provide).
- Authorities, where required by law, or to protect the rights, safety, or property of Sail Private, our users, or the public.
- A successor, if Sail Private is involved in a merger, acquisition, or sale of assets, in which case this policy will continue to govern your information or you will be notified of any change.
5International transfers
Sail Private is based in the United States. Our service providers may be based in the United States and elsewhere. If you access the site from outside the United States, you understand that your information will be transferred to and processed in the United States.
6How long we keep it
We keep information for as long as needed to provide the site and meet our obligations:
- Contact-form messages and application data: up to 3 years after our last interaction.
- Waitlist email addresses: until you unsubscribe.
- Voyage RSVPs and cabin holds: for the life of the voyage and a reasonable archival period after.
- Voyage preview prompts: up to 90 days, then deleted.
- Server logs and analytics: typically up to 14 months.
We may keep information longer where required by law or to resolve disputes.
7How we protect it
We use industry-standard measures: TLS in transit, encrypted storage, principle-of-least-privilege access, multi-factor authentication for administrative accounts, and regular review. No system is perfectly secure; we cannot guarantee absolute security.
8Your choices and rights
You may:
- ask what personal information we hold about you;
- request a correction or deletion;
- unsubscribe from waitlist email using the link in each message;
- decline analytics cookies in your browser settings or via a browser extension that honors Global Privacy Control (we honor GPC where technically feasible).
Depending on where you live, you may have additional rights — for example, under the California Consumer Privacy Act (CCPA) or the EU/UK GDPR — including the right to access, correct, delete, restrict, object to, or port your information, and to lodge a complaint with a supervisory authority. We do not sell or “share” personal information as those terms are defined under CCPA.
To exercise any of these rights, email [email protected]. We will verify your identity through the email associated with your account or request and respond within the time required by applicable law.
9Children
The site is intended for adults. We do not knowingly collect information from anyone under 18. If you believe a child has provided information, write to us and we will delete it.
10Cookies in detail
The site sets:
- Session and authentication cookies required for sign-in and the voyage portal to work.
- Analytics cookies — Google Analytics (
_ga,_gid) and Microsoft Clarity (_clck,_clsk,MUID) for measurement. - Preference cookies the site sets to remember basic UI state.
You can clear or block cookies in your browser. Some parts of the site (portal sign-in, RSVP) require cookies to work.
11Changes to this policy
We may update this policy from time to time. We will post the updated version with a new effective date. If a change is material, we will take reasonable steps to notify you.
